AI Use Policy

A4ID (Advocacy for Inclusive Development) uses artificial intelligence (AI) and automation to drive and accelerate empowerment initiatives. This AI Use Policy outlines how we apply AI technologies across our services, and how we protect your data, privacy, and rights in the process.

  1. Where We Use AI

Our systems may use AI to:

  • Generate reports, summaries, or recommendations
  • Perform natural language processing (e.g., prompts or chatbot replies)
  • Analyze data submitted through forms or automation workflows

These features are always clearly marked and never used without user action or consent.

  1. Data Usage and Retention
  • We do not train AI models on your data unless explicitly agreed upon in writing.
  • Inputs submitted to AI tools (e.g., lead generation prompts) may be temporarily processed by third-party providers like OpenAI.
  • Unless part of a saved workflow or project, prompt data is not stored long-term.
  • File uploads and personal data are processed securely and only as needed for delivery of the requested result.
  1. Third-Party AI Providers

We may use secure external APIs (such as OpenAI or other LLMs) to process your requests. All third-party tools are selected for:

  • Proven security & data privacy standards
  • No training-on-user-data policies
  • Global compliance (POPIA, GDPR, etc.)

We continuously review providers to ensure they align with our security and ethical standards.

  1. Fairness and Accountability

A4ID (Advocacy for Inclusive Development) does not use AI to make binding decisions about users, customers, or employees. AI is used to support — not replace — human judgment.

We aim for fairness, accuracy, and transparency in all AI-assisted features.

  1. Your Rights

If you use any AI-enabled tool from A4ID (Advocacy for Inclusive Development), you have the right to:

  • Know how your data was processed
  • Request deletion of any stored AI-related content
  • Opt out of AI-enabled services where alternatives are available
